Fleet Fuel Management: Tips to Cut Costs

The Cost of Fleet Fuel in the UK

With UK diesel prices averaging around 145p per litre and petrol at 140p per litre, fuel remains one of the largest operating costs for fleet operators. A 50-vehicle fleet can easily spend over £250,000 annually on fuel alone. Effective fuel management strategies can reduce these costs by 10–25%, translating to savings of £25,000–£62,500 per year.

Top Cost-Cutting Strategies

Implement these proven strategies to reduce your fleet's fuel expenditure.

• Fuel cards with HMRC-compliant invoicing — Recover VAT on fuel purchases and access discounted rates at major UK networks including BP, Shell, and Esso.
• Route optimisation — Use GPS-based route planning to reduce unnecessary mileage. Avoiding congestion zones and ULEZ areas can also reduce surcharges.
• Driver behaviour monitoring — Telematics data shows that addressing harsh braking, rapid acceleration, and excessive idling can reduce fuel consumption by 15–20%.
• Vehicle maintenance schedules — Properly inflated tyres, regular servicing, and AdBlue top-ups for diesel vehicles ensure optimal fuel efficiency.
• ULEZ and CAZ compliance — Ensure your fleet meets Euro 6 emissions standards to avoid daily charges in London's ULEZ and other Clean Air Zones.

Choosing the Right Fuel Card

UK fuel card providers offer varying discounts, network coverage, and reporting features. Key factors to compare include pence-per-litre discounts, network size (number of stations), HMRC-compliant invoicing for VAT recovery, and integration with your fleet management software. Cards offering fixed weekly pricing can protect against daily price fluctuations.

Measuring Your Savings

Track your fleet's miles per gallon (MPG), cost per mile, and total fuel spend monthly. Compare against industry benchmarks — the average UK HGV achieves 8–10 MPG, while light commercial vehicles typically achieve 30–45 MPG. Set targets for improvement and use telematics data to identify underperforming vehicles and drivers.
